ACT is seeking an initiative-taking and organized Admin Inspection Facilitator to join our team and contribute to the smooth functioning of our office operations.
Job Responsibilities:
Direct support to office management team and service department. Communicate directly with customers, vendors, and internal departments ensuring a positive customer/vendor/staff experience.
Manage high call volume, emails, inquiries, directing callers to the appropriate personnel and processing work order tickets accordingly for the service department. Scheduling of customer Inspections which requires maintaining multiple scheduling calendars for Customer Inspections and Service Technician work orders.
Schedule, manage, and report customer inspections, inspection reports, deficiency tracking, and repairs.
Work closely with the finance team to ensure accurate and timely financial record-keeping. Input and manage data in databases and spreadsheets accurately.
Maintain organized records of financial transactions, invoices, receipts, and inspection reporting. Requires assistance in basic financial tasks, including posting, invoicing, and inspections reporting and deficiency tracking. Manage and organize office documents, files, and records.
Qualifications:
Candidate must have scheduling experience and proven experience as an office administration assistant, or relevant role.
Requires proficiency with QuickBooks, MS Office (Word, Excel, Outlook), with abilities to manage, maintain, and perform duties on several Web-based platforms.
Applicants must have excellent communication skills, with a high emphasis of strong organizational skills. Position requires essential multitasking capabilities and ardent to details and problem solving.
Education and Experience:
High school diploma or equivalent; additional qualifications in office administration and previous experience in an administrative role is a plus.
